Start with a list of the chair types and quantities. A dining seat pad, an office seat with a mesh back and a fully upholstered armchair contain different cleaning surfaces. Specify whether the seat, back and arms need attention and include upholstered edges or panels that are easy to overlook. Photos of the front and back of representative chairs help explain the scope more clearly than a total quantity alone.

Separate chairs with different coverings or condition, even if they belong to the same room. A replacement chair, an older fabric batch or a seat exposed to more sunlight may need a different discussion. If care labels or manufacturer information are available, keep them with the enquiry. We assess suitability rather than assuming every chair in a batch will tolerate the same cleaning approach or produce an identical appearance.

Tell us whether cushions are fixed or removable and point out piping, buttons and decorative trim. Do not dismantle furniture or wash covers simply to prepare for the quote. Any removal, movement or handling responsibilities should be agreed before the appointment, especially where chairs are heavy, fragile or part of a workplace fit-out.

Food marks, drink spills and body-oil build-up describe different concerns from torn fabric, worn padding or damaged frames. Point out the areas you want improved and tell us what caused a mark where known. Include the approximate age of the spill and any products used. Photographs are useful for an initial conversation, but they do not reveal every issue in the covering, foam or backing.

Fabric upholstery cleaning can address suitable removable soiling, while colour changes, abrasion and existing damage may remain. A flattened seat or a patch that catches light differently is not automatically a stain that stronger cleaning will fix. We discuss likely limitations before additional treatment, so expectations are based on the chair’s material and condition rather than the promise that every item will look new.

Keep fabric upholstery cleaning separate from repairs to castors, gas lifts, stitching, frames or filling. Tell us about unstable chairs or damaged components because they affect handling. If another provider needs to repair an item, discuss the order of that work and cleaning so the seat is not booked for a service that cannot address the main concern.

For a workplace or venue, explain where the chairs can be grouped and when they are next required. Include lifts, parking, security access and any contractor arrangements. A large batch may need a plan for separating completed items from those awaiting attention, subject to the team’s assessment and availability. Nominate a contact who can confirm the included chairs and raise any access issues on the day.

Allow drying time before chairs return to meetings, dining or public use. Fabric, padding, the method used and room conditions affect the advice. Ask before stacking, covering or using damp seating, and arrange alternative chairs if the timing is important. An appointment date alone does not guarantee that every chair can immediately be put back into service.

After the work, follow the care advice for the actual upholstery and keep a record of the completed scope. If a concern remains, identify the chair and affected panel when contacting us.
